Outlook differences

Outlook client is strange in that it allows some things that most filesystems and other operating systems do not allow.

Some of these nuances in folder and email subject creation do not translate or map well to other file systems.


As Colligo is being used to create records from Outlook emails and then transfer those selected over to SharePoint/Teams or OneDrive, then some naming rules are governed by the destination location ( MS365 SharePoint Naming Rules ).

Actions

Colligo will take some automatic action to ensure bulk filing automation can still process your items and move them over to SharePoint un-attended. This is especially significant when using the option to recreate the folder structure from Outlook within SharePoint.


Summary of Limits

Here are the limits and the changes Colligo will make to ensure data can be written to SharePoint:


  • " * : < > ? / \ | are NOT allowed
  • Leading and trailing spaces in file or folder names are not allowed
  • You cannot use the period character consecutively in the middle of a file or folder name. (two or more)
  • You cannot use the period character at the end of a file or folder name.
  • You cannot start a file or folder name with a period character.

Colligo will remove (trim) as needed to comply with these rules to ensure the folder name can be re-created. It will do this in a consistent way to ensure that repeated bulk jobs to the same location will still map.
These items will be trimmed as required from the Outlook value to enable the SharePoint creation and future mapping.



Further information on Space

The space character is also not allowed at the start or end of a folder name. This will be stripped. Usually this is a result of mistakes when typing and originally creating Outlook sub folders by an end user. Spaces are allowed by Outlook, but are not really visible in the UI so users may not notice.


Colligo will Trim spaces from before and after folder and filenames to ensure they can be written to the destination location.
